We need Exhibitors who can speak or present on

meaningful eco-friendly topics.

  • Use "green" materials or are "green" in their production and manufacture? (including organic products within 150km)

  • Does your organization bring attention to protecting the environment or climate change?

 

 

EXHIBITOR POLICIES & PROCEDURES

  1. Presentations/Hands on Workshops/Promotion of Non-Profit Organization at ECOFEST must be related to protecting or preserving our natural environment or promoting sustainable living behaviours.  Our ECOFEST has a mandate to showcase local business/non-profits  who have products which are Eco-Sensitive, Organic, Local, Handcrafted or Artisans and their creations.  

 

Please tell us how your presentation/products/business or workshop(s) is "Green" : 

  1. Are they enabling others to live sustainably? 

  2. Do they use "green" materials or are "green" in their production and manufacture?  

  3. Do they bring attention to the environment or climate issues? 

  4. Is your ECO Friendly business  within 150km of our school address, contributing to a sustainable local economy?

 

  1. Each  Non-Profit Exhibitor shall be provided a Standard “booth space” that can fit one 6’x2½ ’ table and two chairs.  All participants must supply their own tables, chairs, and any other necessary setup items. Space could be assigned Indoors or Outdoors depending on event layout and number of Non-Profit Exhibitors.

Additional tables are available for exhibitors at $15 each.

 

  1. HPS ECOFest is committed to respecting the natural environment. To keep the school grounds clean and undamaged is one expression of this commitment. 

Our zero-waste practices are another such expression:

We require Exhibitors to minimize any plastics. 

There will be composting and recycling bins on-site, and all waste materials should fit into one of four categories:

• Recycling – Paper or Metal

• Compostable food and/or biodegradable packaging

• Recyclable Multiple-use plastics e.g. large oil containers

  1. The sale or free distribution of disposable plastic water bottles at Eco-Fair is prohibited. The event promotes “BYO Water Bottle” and “BYO Cup” as a part of the zero-waste model.  Drinking water filling station is available onsite in the school.

  3. No Vendor Shall sell food intended for consumption at the event or be in competition with HPS designated Food & Beverage Vendor(s) or HPS Bake Sales.  Food that is packaged and intended for consumption elsewhere, shall be permitted. (examples: bottled jams, honey, syrups, "Grocery" food and vegetable products). Please be specific in the description when submitting an application..

 

  1. SET UP AND TAKE DOWN: 

Vendors/Exhibitors are responsible for their own set-up and tear-down. Parking will be roadside and will require moving your equipment and products up to 500’.  Advised to bring their own carts/dollies for transporting display material.  We will have onsite overnight volunteers Friday night, for vendors that choose to setup on Friday.

 

Vendors/Exhibitors are requested to set up their display either:

Friday (indoors & outdoor spaces) from 12pm to 8pm  

or Saturday morning (Outdoor spaces only) from 7:00am to 8:30am

 

TAKEDOWN Will Occur between 5pm and 8pm Saturday following the event.

Please note, that some time will be required to enable a path to the side gate for vehicle loading. This will be managed by an Event Volunteer. Please be patient.

 

  1. No Vendors/Exhibitors shall disassemble, or remove their display before the official closing time 5pm. 

All exhibits must be fully removed from the area directly after closing time.  Display must be intact,  staffed, and functioning for the duration of the Festival.

 

  1. The use of tape/adhesive of any kind on the floors and walls is prohibited.

  2. Vendors/Exhibitors displays must not protrude beyond the measured booth and may not be taller outdoors, than 10 (ten) feet, which allows for a Gazebo outdoors OR not taller than 8’(eight) indoors 

  3. SPACE RELOCATION The event coordinators reserve the right to relocate a Participant/Vendor should it be necessary for the proper functioning of the Festival.

  4. LAWS & REGULATIONS The Participant/Vendor agrees to adhere to all pertinent fire codes, laws, ordinances.

  5. ALLERGIES:  We are a NO NUT or SEAFOOD Products ONSITE & Latex balloons School, some children are highly sensitive, please refrain from these items out of consideration for their safety.

  6. COVID Health & Safety Protocols will apply, based on what is occurring at the time of the event.
